Welcome to Wesley AI - the modern AI-powered accounting solution designed to streamline your financial management. This quick start guide will help you get up and running in minutes.
What is Wesley AI?
Wesley AI is an intelligent accounting platform that automates your bookkeeping, categorizes transactions, and provides intelligent financial insights. Perfect for small businesses, freelancers, and entrepreneurs who want to focus on growing their business instead of managing spreadsheets.
1. Setting Up Your Practice
First, create a dedicated workspace for your accounting firm.
- Enter Firm Name: The primary name for your workspace.
- Description (Optional): Add a brief overview of your firm.
- Finalize: Click “Create Firm.”
2. Adding a Client
You must add a client profile before you can begin managing their books.
- Click “Add your first client.”
- Client Name: The legal or operating name of the business.
- Industry (Optional): Providing this helps our AI model better understand the business context and improve transaction categorization accuracy.
- Notes (Optional): Add any specific details or internal reminders.
- Click “Create Client.”
3. Managing Transactions
Transactions are the source data used to generate journals. Before importing data, you must configure a bank account.
Add a Bank Account
- Click “+ Add account” and enter the following:
- Account Name: A nickname for easy identification.
- Institution Name: The name of the bank (e.g., Chase, Bank of America).
- Account Type: Select from Depository (Checking/Savings), Credit Card, Loan, Investment, or Other.
- Account Subtype & Last 4 Digits: For precise record-keeping.
- Currency & Opening Balance: Set the starting point for the books.
Note: Every bank account must be linked to a Chart of Accounts (COA) entry. You can link an existing entry or create a new one by entering the COA Name, Code, Account Type, and Description.
Click “Add Account” to finish.
Importing Transactions Wesley allows you to import data seamlessly via PDF. Our AI engine automatically extracts transaction details so you don't have to.
- Select the bank account you just created.
- Click “+ Add Transactions.”
- Select “Upload Bank Statements.”
- Drag and drop your PDF files into the window.
- Confirm the matching bank account for each uploaded file to begin the AI extraction.
